These Standard Service Terms apply to the use of Expertly’s AI Toolbar (the “Toolbar” or “services”).  By your use of the Toolbar you agree to the terms and they are automatically incorporated into any subscription that you have with Expertly Software, LLC (“Expertly,” “we” or “us”).

This Expertly Privacy Statement (“Privacy Statement”) explains how Expertly, LLC gathers, uses, handles, and discloses your personally identifiable information. It also outlines your available choices concerning rights related to access, deletion, and correction of your personal data. In this Privacy Statement, “information” refers to any data associated with an identifiable individual.

This Privacy Statement applies to Expertly.com, its subdomains, software, and any other site linking to this Statement (collectively, the “Site”). It also covers information collected through our services, including developer programs, communities, marketing initiatives, customer interactions, and branded social media pages (“Services”).

This Statement excludes data we collect about employees (covered by our employment policies) and job applicants. It also does not apply to data gathered by third parties, such as external websites, social media platforms, third-party service providers, or applications integrated with our Services. Non-personally identifiable data, including aggregated or anonymized information, is also outside the scope of this Statement.

We may revise this Privacy Statement periodically, with notice provided as described below in the section titled “Notice of Changes.”

Our Services are not intended for children under the age of 16. We do not knowingly gather data from anyone under 16. If you are under 16, you are not permitted to use the Services or share your information with us through the Site or any other means.

The Toolbar may request additional permissions for new features as you use them. You’ll always be notified and prompted for consent before granting these permissions.

What Features Require These Permissions?

Context Awareness & Suggestions

The Toolbar monitors which websites and pages you visit (including content) to suggest relevant Actions that might be helpful. This is done locally and, when you trigger an Action, the relevant data is processed to provide AI-driven assistance.

Running Actions/Automations

When you use an Action (from the toolbar or menu), the Toolbar reads the content of your active window, and may send it securely to our servers for AI processing (for example: summarizing, generating documents, or filling in web forms). If the Action requires it, the Toolbar can take a screenshot or let you upload a file for analysis.

Desktop App Integration

If you install the optional Desktop app, the Toolbar can perform similar AI-powered features on your desktop applications, including reading and writing content, taking screenshots, and transcribing audio from your microphone.

Microphone Feature

Allows you to use voice input or transcribe audio—typically requires the Desktop app, and is always opt-in.

File Handling

You can upload documents for AI analysis or transformation (Word, PowerPoint, PDF, Excel, images, etc.).

Your Privacy and Control

Consent and Transparency

The Toolbar only uses permissions as described above and never accesses your content, clipboard, or microphone without your explicit action or consent.

Data Security

Any data sent to our servers for AI processing is transmitted securely and is never sold to third parties.

User Control

You can review and manage which permissions the extension has via your browser’s settings. The extension may ask for new permissions as new features are added—you’ll always be notified and must approve them.

For transparency, the Toolbar requests standard browser permissions (such as “access to all websites,” “tabs,” “storage,” “clipboard,” “context menus,” and “communication with desktop applications”) in order to deliver the features described above. These permissions are only used as necessary, and you are always in control.

If you register for a community or partner program, we gather account details like your name, email address, company, phone number, and more. You may also share feedback, ratings, and other inputs while using our Services or participating in our communities or partner initiatives.

When setting up an account, you provide registration and profile details such as your name, email, company name, and similar data. We also automatically log specific details about how you use the Services, partner programs, or communities—such as login activity, features you use, and interactions with other users. Information Shared Through the Services

The Services enable integrations between third-party applications you use. Data or content transferred between these apps is collected as part of the integration process. The specific data collected depends on how you use the Services and is described further in the Expertly Services statement. Additionally, users may share information about others when using features like automated emails or inviting team members to collaborate. Administrators may also provide details like names and contact information when assigning roles such as technical support, billing, or administrator contacts.

Content You Upload via the Site

If the Site or our social media pages allow uploads, we will collect the data or content you share. This may include participating in surveys, promotions, events, or providing feedback through interactive features.

Support and Community Submissions

We also receive partner-provided details such as contact information and job roles, which we combine with your account data.

When making payments for our Services, transactions are processed by third-party providers. We do not collect sensitive payment details like credit card numbers. However, we retain payment verification details such as the transaction amount, currency, date, payment method, and account information.

Technical, Device, and Connection Information

When accessing our Services or Site, we automatically gather data about the device and connection used. Marketing Communications

If you prefer not to receive our marketing messages, you can opt out by sending a request to privacy@expertly.com. You can also unsubscribe by clicking the opt-out link in promotional emails or replying to the email with a request to stop future communications. This opt-out option does not apply to essential messages related to your account, services, or notifications about Service operations. If you have an account, you can manage your communication preferences, including opting out, through your account profile settings.

Requests to modify information may be declined if fulfilling the request would violate any legal obligation or render the information inaccurate. Expertly takes appropriate measures to safeguard your personal information from loss, misuse, unauthorized access, disclosure, alteration, and destruction, considering the risks involved and the sensitivity of the data. However, no online service, Internet transmission, or email communication is entirely secure or free of errors. Therefore, we cannot guarantee the absolute security of personal information. You are responsible for protecting your account credentials, including the passwords we provide.

Data Storage and International Transfers

Personal data collected through the Site may be transferred to and processed in the United States or other countries where Expertly, its affiliates, subsidiaries, or third-party service providers operate facilities or have staff. These countries may have different data protection laws, which might not offer the same level of protection as your country’s laws.

We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Statement, including providing the Services, complying with legal obligations, resolving disputes, and enforcing our agreements.

The exact retention period depends on the type of data and the purpose of collection. For example, billing and payment records may be retained for up to seven years to comply with tax and accounting obligations, while support tickets may be kept for a shorter duration.

When data is no longer required, we either delete or anonymize it. Where deletion is not technically possible (e.g., backup systems), we securely isolate and protect the data from further use.

We comply with data protection laws when transferring personal data across borders by using recognized safeguards such as Standard Contractual Clauses (SCCs) and appropriate vendor agreements. We are not currently self-certified under the U.S. Data Privacy Framework.

Expertly is not currently self-certified under the EU-U.S. Data Privacy Framework (DPF), the UK Extension, or the Swiss-U.S. DPF. However, we are committed to handling cross-border personal data in a manner consistent with applicable privacy principles and laws, including the General Data Protection Regulation (GDPR).

Where personal data is transferred from the EU, UK, or Switzerland to the United States, we rely on approved legal mechanisms such as Standard Contractual Clauses (SCCs) and vendor agreements that implement appropriate safeguards.
